HOW TO USE NOTES/NARRATIVES

 

To open the notes area, choose Narrative Letters, SOAP and other Notes or use the Navigation Bar and click on the icon

 

You will use this section of TPS2000 to build and print your Narrative Reports and Patient Notes and Letters.  If you have "Voice Recognition" software (E.g. Dragon or IBM Via Voice), TPS2000 is ready for you.  You will be able to 'speak' to your computer for the ability to choose your paragraphs or answer any prompt questions.

 

Start by clicking the “+” to add a new note.  Choose your note type and add a brief description of this report/note/letter. 

 


Generating an Attorney/Collection/General/Insurance/Medical Note:

These notes areas are for basic type notes used by the front desk, collection department and other staff members to keep basic information about the patients in an organized manner. 

 


After you have selected your patient and to which claim this note belongs, use the pull down arrow in the NOTE TYPE field to choose one of the above type of notes.

 

Use the pull down list to choose the doctor responsible for this note. 

 

In the Notes field itself, you may use a combination of free form typing and inserts to build your report/note/letter. 

 

When you click on "Generate Note/Report" you will be able to scroll through your list of previously setup letters, paragraphs and phrases. What you will see in this list are all of the inserts that have been SELECTED to be part of these entries. Select the one or ones you need and insert this text into your note.

 

When you have completed your Report/Note/Letter, you may either edit or print your report.   Make sure that you have the appropriate “Print Layout” selected.  For most general notes, you will use the “Notes, Default, Plain Layout”.

 

Print The Current Note

To Print the current note, select the appropriate Print Layout.  Click [Print], select the correct printer and click [OK].  If you wish to see this report on the screen prior to printing, click on [Preview].

 

 

To Print Several Notes of the Same Type

Click on [Select Notes].  This will display a list of all of the notes for this claim that match the “type of note” on the screen.  For example, if you have an Attorney Note listed in the “Note Type” field, then this will list all Attorney Notes for this claim.

 

To select all notes for printing, click on the [  ]Select All Notes at the top of this window.  To select some of the notes, hold down the CTRL key and click on each note wanted for this printing.

To select a range of notes, click on the first note wanted from this series.  Now hold down the SHIFT key and click on the last note wanted for this series.  This will highlight, or select all notes between these two items.

 

Next, make sure you have the appropriate format listed in the Print Layout field.  Now click [Print], select the correct printer and click [OK].

 

You may also export this report/note/letter to any Windows based word processor, if you want to merge it with your letterhead, or if you have special printing needs.

 

To View All Notes

To view all notes for this claim regardless of the type of note, click on the Show a List of Records.  This will display all notes for this claim.  You will be able to see in the first column (Claim Cat.) what type of note this is.

 


 

The above overview is quite simplistic.  With the Reports Writer portion of TPS2000 you will be building "inserts, inside of inserts".  What we mean is, you now have the ability to layout your "Progress Report", for example.  Within this layout you tell it you want to select from a list of prognosis possibilities, and you want to be asked for the current objective findings.  When this report is selected, it will fill in the fields from the patient files that are automatic (E.g. Patient name, Insurance Name and Address, etc.) then pop up any special request.  When you are picking the one of the prognosis paragraphs, it too, could have other items to be selected or other questions for you to answer.  It could also be set to randomly select from a group of similar items so that if this is a subsequent report, the computer will pick a different selection than last time, assuring that you won't duplicate a report for the same patient.

 

The result is a customized report/note/letter in a short amount of time.  You may also add a picture or x-ray to your notes or reports if you have either a scanner or a digitized camera.
