PATIENT BILLS OWN INSURANCE

 

There are 3 ways of helping a patient bill their own insurance company.  Which you choose will depend on your office procedures which one you find easiest.

 

Creating a Courtesy HCFA or Bill

Even if a patient is set to CASH you may create a HCFA (or other carrier submission form) during a bill batch.  You will need to set 1 parameter in the patient claim file.  Click On Claims and select the patient and claim.  Now click on the Visit Info./Misc. Tab and mark Bill Carrier for All Services > 0.00 with a Check Mark.  This is a force key.  It tells TPS! to bill everything in the ledger to the insurance company regardless of who is responsible for its payment.  Then, when you do your carrier billing, a HCFA (or other carrier submission form such as the Patient Super Bill) will be created for this patient.  NOTE:  I suggest that you pull all of these forms addressed to CASH and place in the patient file or travel card to be handed to them on their next visit. 

 

(**NOTE:  There is a Patient Super Bill format available for this process if you do not wish to use a HCFA format.  The Patient Super Bill is designed to print on plain white paper.  If this is your choice, go to Carrier Information and change the CASH claim form to the Patient Super Bill).

 

This form is intended to be used during a Carrier bill batch, it is NOT intended to be used as a replacement for a Patient Statement.

 

Using a Patient Receipt

The Patient Receipt in TPS! is setup with all information needed for a patient to bill their own insurance company.  When you are using the Receipt method for your patients, the receipt will print that visit information only.  If they only bill their insurance company 1 time per month, they will need to keep their receipts and submit them together.  The receipt contains the Clinic information (name, address, etc.), the Provider’s Federal ID number (or SSN), Up to 3 of the patient’s diagnosis codes and, of course, the CPT codes and prices of the services.

 

Using an Attorney Itemized Statement

An Attorney Itemized Statement is set to print on plain white paper.  You may print an Attorney Itemized Statement for any patient who has been set with an attorney in their Claim file.  If you choose to use this option, we suggest you create an Attorney named “Bills own Insurance” or “Super Bill” or something that makes it plain to you that the function of this document is for the patient to file their own insurance form.  Now place this attorney in the claim file of all patients that will be using this process.  You are now set to create this statements, once a week or once or month according to your office procedures.  Go to Reports Master, then to Attorney Itemized Statements and click on Run Report.  You will see a list of all patients that have an attorney in their claim file.  You will also see the attorney’s name.  You may select one by clicking on them, or select several by holding the CTRL key and clicking on those you would like to bill.  Now click on Printer.
