HOW TO ENTER SERVICES

 

You do not have to use the Appointment Scheduler to enter services for your patients.  From the “Select a File to Open” menu choose Service and Payment Entry,  to use the Navigation Bar Icons, click on the . 

 

A list of your active, Patient Claims will popup.  You may select from this list by scrolling or using the arrow keys to move up and down through the list, or you may click into either PAT CODE or NAME fields, and start typing.  If you know the patient’s code for whom you are ready to enter services, click on a number in the PAT CODE field and type in that code.  TPS 2000 will take you to that listing. If you know the patient’s name for whom you are ready to enter services, click on a name in the NAME field and type in all, or part of the patient’s name.  TPS 2000 will take you to that area of the list.   When you have found the correct patient, double click, hit enter or click on Select Record.

 


There are several ways in which you may select today’s charges for this claim.  From the Services List shown on the left hand side of the screen, select the services that are applicable for this visit.  You may select from this list by…

·                    scrolling or using the arrow keys to move up and down through the list

·                    you may click on the down arrow next to Categ. and select a specific category of services from which to pick

·                    with the Categ. On “All Categories:, click once in the list then type the first few letters of the service you seek

·                    you may select a “Grouped Service”.  A group service is an entry that, with one click will charge out several, pre-selected services

·                    you may use the [Copy Previous Services] button if this patient receives the same type of services on each visit

 

As you select your services, you will see the balance fields at the bottom of the screen update appropriately.  Once you have selected all of the needed services, if this patient has not made a payment, you may either click on DONE, SAVE CHANGES (found at the bottom of the screen) to close the services entry, or you may click on SELECT PATIENT CLAIM (found at the top of the screen) to choose the next patient for whom you have services to enter.

DIAGNOSIS DESIGNATION

 


When entering services (whether you go from the appointment scheduler (using the Main Loop) or directly from the [ S ] Service/Payment Entry) you have the ability to designate to which diagnosis the service entry applies.

 

 

Across from each service you select you will have checkmarks automatically entered in each diagnosis entry.  So, for example, if you have 3 diagnosis codes for this claim, then there will be a check mark in D1, D2 and D3 automatically for each service entered. 

 

Once you select your services for the day, you may "remove" any related diagnosis that is not applicable.  To remove a check mark, simply click on it.  This is a toggle field, click to remove or click to add back in.

 

Whatever you have designated here is what will appear in box 24E on the HCFA form.  So, for the example shown above, it would look something like this:

 


 

All four diagnosis codes appear appropriately in box 21, but each service line is related ONLY to the appropriate diagnosis codes.

 

If the patient has made a payment for these services, click on the ENTER NEW PAYMENTS tab.  Enter the amount of the payment


(NOTE: If you are using the Fast Pay method, TPS 2000 automatically fills in this field with the amount shown in the Patient Pays field and distributes the money to the services.  If this is not the amount that has been paid, click on CANCEL CURRENT CHANGES and enter the information in the appropriate fields as follows). 

 

Choose what type of payment has been made (i.e. Check, Cash, Credit Card, Off Account).  If there is a Check or Credit Card Number, fill in the next field.  You may choose to apply to this current visit first, the oldest visit first, or you may manually enter the payment toward the specific services if you wish.  If you use the “apply to” option (and do not wish to manually enter the amounts next to each service) you will need to click on (Re)Apply Payment Amount to distribute this payment to the services.

 


If the patient is making more than one type of payment (i.e. using an On Account Credit and paying balance with a check) you will then click on Save this and Add new Payment.  The payment screen will clear, and you will be ready to add the additional payment entry.

 

After you have entered all of the needed payments, you may either click on DONE, SAVE CHANGES (found at the bottom of the screen) to close the services/payment entry, or you may click on SELECT PATIENT CLAIM (found at the top of the screen) to choose the next patient for whom you have services.

 

 

 


PRINTING A RECEIPT

You may print a receipt for a patient whether or not this patient has made a payment today.  On the Service/Payment entry screen, you will see a small printer icon between the Enter Payment Tab and the Deductible field.  For the receipt to show the payment, you must be on the Enter Payment Tab when you click on the receipt icon.  You must also print this receipt prior to “saving” the payment.  Remember, once you save the payment (by either clicking done save changes or by clicking back on the Services Tab) the payment “moves” itself into the Payment/Refund area of the TPS2000 program so is no longer accessible from this screen.  If you click on this receipt icon from the services entry, (Whether or not you have entered a payment), no payment amount will appear on the receipt form.  If you click on this receipt icon from the Enter Payment Tab, prior to clicking done, the payment will show on the receipt appropriately.

 

ENTERING A “NO VISIT”

There may be times when you need to enter a service and not have it count toward the visits.  Possibly you need to enter a charge for a report rendered.  Or perhaps, you are entering a service that missed from yesterday.


When you first enter the Services/Payments area, TPS2000 increase the visit count by one, in preparation for your entries.  When you need to NOT have the entry count as a visit, set the three visit counters at the bottom left of the screen set to 0.  Click into “YTD Visit” and type a 0.  Now tab or click into “In Series” and “Total Visit” and do the same.  You are now ready to select the service(s) for this entry.
