USING THE MULTI SCHEDULING OPTION
TPS2000 gives you the ability to quickly and easily
schedule multiple appointments. From the
Appointment Scheduler, click on [MULTI].

Select
the patient for whom you are scheduling.
If you are scheduling a patient that was seen today, TPS2000 will fill
in the appointment time, and the column resource with same data that was used
today. For example, if our patient, Anne
MacDowell was seen today by Dr. Don (column #3) at 9:00AM, then this is the
information that will fill in. You may
change this information if this is not correct.
Now select the days in which you will schedule this patient (in our
example we selected Monday and Friday).
You may then select the frequency.
Is this patient to be seen every week?
Then select Weekly. Every other
week? Then select Bi-Weekly. Etc.
Finally, select the time frame.
In our selection, we selected weekly for nine weeks. When all selections have been made, click on
[CREATE APPOINTMENTS]. This will create
all of the appointments that you requested.
CONFLICTS
If, when creating appointments, the column and time frame
are already in use by another patient (or a closed day), you will see the word
*CONFLICT* to the right of the
appointment date. To resolve this
conflict you have a couple of choices:
1.
Double click on the first CONFLICT. This will take you to that day’s
schedule. You may then choose another
time or column for this appointment.
When you click back on [MULTI] this conflict will be resolved. Continue in this way until all conflicts are
handled.
2.
You may delete the conflicts. Hold down the CTRL key and click on each line
that shows a CONFLICT. When you have all
of them highlighted, click [Delete Appointment(s)] at the bottom of the screen.
After you have entered all appointments for this patient,
you may print the Future Appointment Report for this patient. Click on the small printer button at the
bottom of the Multi Appointment screen. This
will bring up the Future Appointment print function.

Print this out for your patient to remind them of when
they are scheduled.

DELETING
APPOINTMENTS
If you have a situation where a patient discontinues
care, or perhaps they have an obligation that requires changing all of their
Friday appointments to Thursday. Again
click on the [MULTI] button and select this patient. Now click on [Load Appointments for
Claim]. This will bring up and display
all scheduled appointments for this claim.
When they are on the screen highlight the ones that need to be removed.
Specific Dates
Hold down the CTRL key and
click on each date that you need to remove.
All Dates
Click on the first date
displayed. Click on the bar on the right
and slide it all the way to the bottom of the screen. Now hold down the SHIFT key and click on the
last name. This will select all dates in
the range.
When the correct dates have been selected, click on
[Delete Appointment(s)].
