GETTING STARTED – USING THE TOOL BAR

 

Overview of a Windows® Screen…

The top of the active Window will contain a tool bar.  This bar contains buttons to assist you within the program you are currently working.

 

 

Overview of the Windows® Task Bar…

The bottom (usually) of the Monitor contains the task bar.  This is an information bar that will let you know what programs are currently running, the time and/or date and allow access to your start button and menu.

 

 

The tool bar is divided into three sections.  The first section contains program specific buttons.  These will open commonly used areas of the program.  Remember all areas of the program may be accessed through the “Quick Start” menu, these are simply shortcuts to areas of the program used frequently.  The two sections are standard Windows buttons.  These will work the same way when found in most Windows programs.  These buttons do not access areas of the program, instead they are action oriented and will help you to function or navigate through the system.  The second section is action buttons.  These will assist you with adding and deleting items, copy and paste, a calculator, etc.  The third section contains navigation tools.  This will help you move around the records in an open area of the program.

 

 How To Read the Icons/Buttons in TPS2000…

Patients

This icon opens the Patient area of TPS2000.  You will use this area to Add new patient records and Edit existing Patient information.

 

Claims

This icon opens the Patient Claims area of TPS2000.  You will use this area to Add/Edit claim information.  Your patients could have multiple claim entries.  For example one for general insurance, another for a work comp injury and possibly another for a personal injury.  Open a new claim when there has been a new incident, or a reason for keeping diagnosis, insurance, notes and ledger information separate for other claims.

 

Notes

This icon opens the Notes area of TPS2000.  You will use this area to Add/Edit/Print patient specific notes, SOAP notes, narratives and other patient letters such as recall letters, educational letters, thank you and welcome letters and 30/60/90 day collection letters.

 

Scheduler

This icon opens the Appointment Scheduler for TPS2000.  You will use this area to schedule appointments for Today or any future date. 

 

 

Multiple appointments may be quickly and easily setup.  You may also print a daily schedule from this area, or a Multiple Appointment Planner for an individual patient’s use.

 

NOTE:   It is not necessary to use the Appointment Scheduler to enter Services or Payments for your patients.  However, if you choose to do so, you will be able to take advantage of our preset “Main Loop’ function that will automatically take you through all of the steps necessary to maintain your patient records.

 

Services

This icon opens the Services/Payment area of TPS2000.  You will use this area to add services, discounts and payments to your patient’s accounts.  The payments entered from this area should be patient payments only.  This is the quickest way to log payments received “over the counter” or during a patient’s visit.

 

Payments

This icon opens the Payment area of TPS2000.  You will use this area to enter any payments received in the mail.  Remember, there is no need to enter a single check more than 1 time.  The first part of the payment entry is the check’s information, the second part contains the patient(s) listed on the EOB (explanation of benefits) and how much of the check belongs to each of them.  The third part of the payment entry concerns the outstanding services of each patient listed.  You may apply your payment from a specific service date forward, backward, or manually to each services line.

 

Billing

This icon opens the Billing area of TPS2000.  You will use this area to process and/or print your Carrier billings (HCFA forms) and your Patient Statements.  You will also use this area to view and/or print previously created bill batches, process Tracers and Rebill batches.

 

Messages

This icon opens the Daily Messaging Center area of TPS2000.  You will use this area to Add/Edit or Delete messages for specific patients.  You may set the messages up to continue printing every morning until a “handled” response has been entered.  Or, set them as a “heads up” message only that doesn’t require a response and will only print on the date for which it was originally set.

 

Basic System Information (Registry)

This icon opens the Registry area of TPS2000.  The registry area contains the “pop-up” lists area and other general information for your system.

 

Reports

This icon opens the Reports area of TPS2000.  You will use this area to print mailing labels for your Insurance Carriers, Patients and Attorneys.  This area contains setup reports such as patient, carrier and diagnosis lists.  Accounts Receivables reports such as aging reports, receivables reports, percentage of active claims by type and attorney itemized statements.  It also contains the system help report that will print all of the help fields out if you prefer to have a hard copy of your on-line help.

 

Closing

This icon opens the Daily Closing area of TPS2000.  You will use this area to reconcile your cash drawer, print your transaction journal and finally, set all your daily transaction as posted.

Open

This icon opens the “Choose and Item” menu of TPS2000.  You will use this area to pick, or open any of the screens that don’t have their own icons at the top of the window.

 

Add

This icon is used to ADD a new record in almost all areas of TPS2000.  The only area in which this is not the icon used to ADD to a new record is the Registry area of TPS2000.  Each Registry screen has its own ADD button at the bottom of the window.

 

Delete

This icon is used to DELETE a record in almost all areas of TPS2000.  The only area in which this is not the icon used to DELETE a record is the Registry area of TPS2000.  Each Registry screen has its own DELETE button at the bottom of the window.

 

NOTE:   If you have entered transactions (services and/or payments) for a patient’s claim, and done a closing procedure, you will not be able to DELETE the claim record.  Once financial transactions have been posted, you may archive or inactivate a claim, but it is no longer eligible to be deleted.

 

Cut

This icon is used to remove fields from TPS2000.  You will use this icon if you want to empty or completely delete a field from a TPS2000 record.

 

Calculator

This icon will open a calculator on any screen in TPS2000.  You will use this icon if you need immediate access to a calculator.

 

Copy

This icon will COPY to the Windows Clipboard any field or area in TPS2000 that has been highlighted.  You will use this icon if you need to copy data from one field to another.

 

Paste

This icon will PASTE any field or area in TPS2000 that has been highlighted and copied to the Windows Clipboard.  You will use this icon if you need to copy data from one field to another.

 

 


 

  First Record   Prior Record   Next Record     Last Record            List

 

First Record

This icon will take you to the first record of any area of TPS2000.  You will use this icon when you need to go the top of any list.

 

Prior Record

This icon will step you back to the prior record of whatever area you are in TPS2000.  You will use this icon to step backwards through a list in TPS2000.

 

Next Record

This icon will step you forward to the next record of whatever area you are in TPS2000.  You will use this icon to step forwards through a list in TPS2000.

 

Last Record

This icon will take you to the last record of any area of TPS2000.  You will use this icon when you need to go the bottom of any list.

 

Show List of Records

This icon will bring up a list for any open record in TPS2000.  You will use this icon in the Patient area of TPS2000 to see your entire patient list, in Carriers to see an entire list of your insurance carriers, etc.
